Transfer Your Tools between Jobsites

Use ONE-KEY™ to seamlessly move and organize your tools from one place to the next.

Your tools are going to float from project to project, and there are plenty of opportunities for them to go missing between jobsites. The One-Key mobile app helps you avoid the pitfalls of a large-scale inventory with the Tool Transfer feature.

In this article, we'll show you how to make a tool transfer on Android,  iOS, and Web.

Get started on the One-Key app on Android, iOS, or Web

  • Log in to the One-Key mobile app.

  • The homepage, or Inventory Dashboard, will display on your screen.


Make a tool transfer on Android


Note: The screens featured in this article may appear different than what you see on your device due to different phone manufacturers having different procedures.


Juggling multiple projects requires the nimbleness and agility of a skilled inventory manager. One-Key empowers these logistics experts by enabling them to digitally transfer and keep track of your tools as they move from one place to the next. 

Here's how to make a transfer on Android

  1. When you launch the mobile app, tap from your inventory list to “Places” on the navigation bar at the bottom of your screen.
  2. Now tap on the location you’d like to make a tool transfer from. This will open the information card on that particular place.

  3. Next, scroll to the bottom of the page and tap “Start a Transfer.” This will bring you to a list of all the items you have assigned to your selected place.

4. Either select each individual item you wish to transfer or, to transfer the entire list, tap “Select All” at the bottom of the page.

  • You can also narrow down the list of tools by tapping the “Filters” button. This will take to a range of options by which to further sort your tools, including status, division, and category.

5. Once you’ve selected all the items you wish to transfer, tap the cart icon in the upper right-hand corner of the screen. 

6. Now tap on the “Place” button. A list of places will display on the next page. Tap on the place you would like to make a tool transfer to.

  • From this page, you can also choose a person and/or division to transfer your items to. You can also customize the status of the transferred items from here.

7. Once you’ve selected the place you wish to make a tool transfer to, tap the blue “Complete Transfer” button at the bottom of the page.

8. Take a moment to review, and if it all looks good, tap the blue “Complete” button at the bottom of the screen.

  • The final page will give you the option to send an email of a .pdf file detailing the transfer to a recipient(s) of your choice.

Now the tools from one place will display in your inventory as having been transferred to another.

Web: One-Key Makes Transfers Seamless (Transfer Overview)

Transfers are quick and easy with One-Key.

Keeping track of tools and equipment can be daunting when you have a large inventory and are responsible for overseeing many jobsites.

Luckily, transfers can be quick and easy, your inventory management process seamless with One-Key. In this section of the article, we'll show you: 

  • Where in the app you can start a transfer
  • How to create a transfer
  • How you can see your transfer history


Transfers: Where can you start a transfer in One-Key? 

There are many different places you can start a transfer in One-Key. 

Inventory Dashboard

You can start a transfer right when you launch the web app in One-Key. 


Inventory Dashboard on Desktop

You'll see all your recent transfers, right from your inventory dashboard. Take a look at all of your recent transfers to see what's going on with your inventory across job sites.

Places: Transfer items from specific job sites

You can monitor the recent transfers at any of your job sites. These will display right when you click into any of your place's dashboards.

    The places' feature within One-Key lets you observe how your equipment is being used. If tools need to be serviced or are running low on battery life, you can see that within your place's inventory. Then, simply click "Transfer items" to start a transfer if it's needed.

    People: Monitor your crew member's inventory and recent transfers

    You can also take a look at the recent transfers of a crew member.

    "Create transfer" if something is needed, or take a look at all their recent transfers for more visibility. 


    How to create a transfer

    To create a transfer, you can opt to click the "Create transfer" button found in any of the above-mentioned places in the app: inventory dashboardplace's dashboard, or person's dashboard


    You can also navigate to the Transfers icon along the left navigation menu.

    Here, you'll select "New transfer." 

    On the next page, you'll create your transfer.

        1. Choose where you want to transfer your items.
        2. Elect whether you'd like a PDF copy of your transfer. If you select "Yes, PDF," a record of your transfer will auto-download with the transfer date, items transferred, location transferred, and signature lines where you can sign off on the transfer.
        3. Assign the person and division that will be responsible for these tools. You can also set their status.
        4. Select the items you're transferring. You can transfer the entire inventory or select individual items. You can filter by a specific search criterion, like One-Key compatible tools only, type in a search term, or scroll your entire inventory.

            Transfer history: a source of truth

            One-Key keeps a record of all your transfers, so you'll have visibility to your inventory at all times.

            To find your transfer history, navigate to the Transfers icon along the left navigation menu.

            Here, you'll select "Transfer history." 


            On the next page, you'll find a full list of all your transfers.

            You'll see when each transfer was made. You can choose whether you want to see the newest or oldest transfers. You'll see where the transfers were made from and where your tools and equipment were sent. You'll also see how many items were sent in each transfer.

            You can also download a PDF copy of each of your transfers. You can share this report with a coworker and, for authorized users, deep links inside this report can quickly direct them to the item they're looking for in inventory and facilitate seamless teamwork.


            With One-Key, each of your transfers is automatically backed up. You can see where your tools have been sent in real-time, so you're always up to speed whenever you open the app.

            Tool Transfers Using an Asset Tag or Barcode

            The in-app scanner within One-Key lets you assign Asset ID Tags, and to find where a tagged or barcoded item belongs by scanning it using your smartphone's camera. This eliminates the need for expensive standalone scanning hardware. In addition to quick lookups, One-Key's barcode reader also allows you to easily transfer tagged and barcoded items between jobsites.

            In this section of the article, we’ll show you how to complete a tool transfer using an Asset ID Tag or barcode on Android and iOS.

             


             

            Get Started on Android or iOS

            • Launch the app on your respective platform.  
            • Inventory will load by default. Along the bottom menu, tap “Places.”
            • Select a project or job you want to transfer items from.

            • Once in your place’s details, scroll down and tap “Start a Transfer.”

            • Your inventory items at this place will load.
            • To add an item by scanning its barcode, tap the barcode icon on the righthand corner of your screen, located beside the search bar. When you center your item’s asset tag or barcode in the viewing window, by moving your item under your device’s camera, your item's barcode or asset ID tag number and associated details' card will auto-populate in your cart, like in the below example:

            • Check the box located beside your item (as in the above example) to add it to your list of items to be transferred.. Repeat this process as many times as you need until you’ve got everything in the cart for your transfer.

             

            Once the cart is full, finish the transfer process by selecting a destination and assignee.

            • We'll display a summary of the transfer you're about to complete (as seen below, in the screenshot on the left). If everything looks good, tap the "Complete."

            Once that’s completed, you can send a confirmation of the delivery to whoever needs to know (as displayed above in the screenshot on the right). We’ll save a copy for you in your transfer history that you can access whenever you need.

            Transferring Tagged or Barcoded Tools and Equipment on iOS

            • Once in your place’s details, scroll down and tap “Start a Transfer.”
            • Your inventory items at this place will load. Tap the search icon to access the scanner, then the ‘Scan Barcode’ button.
            • Center your item’s asset tag or barcode in the viewing window by moving your item under your device’s camera.
            • When the item description appears, tap the ‘Add’ button. Repeat this process as many times as you need until you’ve got everything in the cart for your transfer.

            Once the cart is full, finish the transfer process by selecting a destination and assignee. Once that’s completed, you can send a confirmation of the delivery to whoever needs to know.
