Create inventory reports

Gather and filter the most important information on all your tools.

Bring the big picture into focus by compiling comprehensive data on all your tools with a variety of filters in ONE-KEY™. This article will teach you:

Get started on your desktop computer

  • Login to your One-Key account from your desktop computer.

  • The homepage, or Inventory Dashboard, will display on your screen.

How to create an inventory report 

One-Key empowers you to compile all the most important data on your tools with just a few clicks. 


To create an overall inventory report

  1. Start from the Inventory Dashboard and click on the “Download report” button in the upper right hand corner. This will download an Excel file that contains all of the data you’ve entered into One-Key for your entire inventory.

How to create an inventory report using filters

Suppose you want an inventory report that only includes a narrow range of information on certain types of tools. One-Key lets you tailor your data by running it through a variety of filters.


To create an inventory report using filters:


1. Start from the Inventory Dashboard and scroll down until the “Filter by” column on the left side of the screen is visible.

2. Choose which filter(s) you would like to use to narrow down the data in your inventory report:

  • Marked missing: Creates a report of tools noticed to be missing.

  • Unseen (in 5 days): Creates a report of tools you haven’t seen in five days.

  • Needs service: Creates a report of tools in need of repair.

  • Seen outside geofence: Creates a report of tools that have strayed beyond the geofence of their assigned place.

  • Low coin cell: Creates a report of tools with low battery power.

  • Needs attention: Creates a report of tool that need attention.

You can also filter by :

  • Places: Create a report of tools in a specific place(s).

  • Status: Create a report of tools with a specific status, including available, damaged, and missing.

  • People: Create a report of tools assigned to a specific person(s).

  • Divisions: Create a report of tools assigned to a specific part of the workforce. 

  • Manufacturers: Create a report of tools of a specific brand(s).

  • Category: Create a report of a specific type of tool.

  • One-Key™: Create a report of all One-Key and TICK™ enabled items. 

3. Once you’ve selected all the filters you want to apply to your report, click the blue “Update” button under the left hand filters column.


4. Click the “Download report” button in the upper right hand corner of the screen to download an Excel file that includes only the data you’ve selected. 


Now you can view a narrower report of your inventory based on your chosen filters. Make sure to click the “Clear all” button in the left hand filter column the next time you want to create a report.


How to create an inventory report for a specific person

If you want to create an inventory report of tools assigned to a specific person on your crew, an easier way to do that is by starting from the People Dashboard


  1. Starting from the homepage, hover your cursor over the people icon  on the left side of the screen. The navigation bar will expand, revealing a list of options. Click “People.” This will open the People Dashboard.

  2. Click on the person you would like to create an inventory report for. This will cause the person’s information card to popup and fill the screen.

A person's profile card in a construction management app3. Now, if you want to download the report, click on the “Inventory” button on the right side of the information card. An Excel file will download onto your computer.

Now you can view an inventory report of what tools have been assigned to that specific person. Make sure to click the “Clear all” button in the left hand filter column the next time you want to create a report.


How to create an inventory report for a specific place

If you want to create an inventory report of tools assigned to a specific place, an easier way to do that is by starting from the Places' Dashboard.


  1. Starting at the Inventory Dashboard, hover your cursor over the map icon  on the left side of the screen. The navigation bar will expand, revealing a list of options. Click “Places.” This will open the Places Dashboard.

2. Click on the place you would like to create an inventory report for. This will cause the place’s information card to popup and fill the screen.

3. Now, if you want to download the report, click on the “Inventory” button on the right side of the information card. An Excel file will download onto your computer.


Now you can view an inventory report of what tools have been assigned to that specific place. Make sure to click the “Clear all” button in the left hand filter column the next time you want to create a report.



Creating inventory reports in One-Key is a great way to stay on top of all the most important information about your tools, whether it’s a report of the overall picture or zoomed into specific details within your inventory.
